Base pay before benefits, taxes, or overhead. BLS: receptionists earned a mean of $39,460 in May 2025 (median $38,010).
Model default: $42K /yrHealth, payroll tax, 401k match, PTO, workers comp, as a % on top of salary. BLS June 2026 data works out to about 35% at private workplaces with 1 to 49 workers (benefits were 25.9% of total compensation).
Model default: ~35% (BLS, 1-49 staff)Onboarding plus ongoing coaching, valued at the employee's hourly rate. 120 hours is our default assumption; use your own estimate.
Model default: 80 to 200 hrsProbability the role turns over each year. Each turnover is charged at 50% of salary, our assumption for recruiting, the empty seat, and retraining. SHRM's 2025 median cost per nonexecutive hire alone was $1,200.
Model default: 30 to 45%Pick the tier matching the role. Receptionist and setter live on N1. Inside sales typically needs N2. Multi role coverage runs N3.
An AI agent can cover one role part time (0.5x) or several roles in parallel (3x to 5x). At 2.0x you are replacing two FTEs with one AI seat. The math compounds fast.

Does the AI agent actually replace 100% of the work?
What about supervision? Don't I still need someone to manage it?
Should I use a hybrid model, or full replacement?
When is this the wrong move?
Where do the fully loaded cost formulas come from?
FullyLoaded = Salary + (Salary x Benefits%) + (TrainingHours / 2080 x Salary) + (Turnover% x Salary x 0.50).
The 2080 is annual work hours (40 x 52), used to value training time at the employee's hourly rate. Benefits are a
percent on top of salary: BLS's June 2026 data works out to about 35% at private workplaces with 1 to 49 workers
(benefits were 25.9% of total compensation) and about 46% for office and administrative support jobs at all
employer sizes (31.3% of compensation). The calculator defaults to the 35% small-workplace figure; set it higher if
your package is richer. The 0.50 multiplier on turnover is
our assumption for recruiting, the empty seat, and retraining, not a published SHRM figure. For reference,
SHRM's 2025 benchmarking put the median cost per nonexecutive hire at $1,200 and the median time to fill at
about a month and a half.
